If the weather is bad or too humid, Mount Fuji might be not clearly visible or totally covered. Kindly understand that we do not provide any refund in this case. If the Hakone Ropeway and the Hakone Pirate Ship are unable to operate due to any circumstances, the tour will be rerouted to one of the following alternative destinations: Hakone Komagatake Ropeway, Hakone Lake Ashi Boat Cruise, Lake Kawaguchi Cruise on Lake Kawaguchi, Mt. Fuji Panoramic Ropeway, Mishima Skywalk, Odawara Castle, Hakone Venetian Glass Museum, Hakone-en Aquarium, Narukawa Art Museum, Hakone Checkpoint, Hakone Shrine, among the others.

(The tour will not be canceled and no refund will be given for this reason.).

If you want to disband at Odawara Station and return to Tokyo with a bullet train (ticket handed to you by the guide), chose the "return with bullet train" plan. If you already have your own Japan Rail Pass and want to return to Tokyo by it, kindly chose the "Disband at Odawara or Hakone" plan, and inform the guide on your tour day. The tour guide will not board the bullet train from Odawara to Tokyo due to operational reasons. The tour guide will provide important information to guests returning by bullet train before boarding the train.

Agreement and consent I hereby acknowledge that I have read, understood, and agreed to all the items listed below in this Letter of Consent, and I am registering for the World Triathlon Championship Series Yokohama Age Group to be held on May 18, 2025. 1. Agreement 1) I will support the coexistence of organizers, athletes, and supporters in order to enjoy the triathlon competition. 2) My family and/or relatives understand the contents of this consent and are in agreement with my participation in the event. 2. Fundamentals of Consent 1) I understand the competition rules and regulations of the Japan Triathlon Union (hereinafter referred to as “JTU”), in addition to any other local rules set by the event organizer, and I will abide by such rules and regulations. 2) I understand the event information, such as course settings and important points to consider. If I have any unclear points or concerns, I will confirm them with the event organizer (hereinafter referred to as “Organizer”). 3. Declaration of Skills and Health Condition 1) I have experience in triathlon or related sports and will compete within my own ability while assessing course conditions. 2) I have undergone a medical checkup by a doctor within the last year, and I understand that there are considerations I should take into account when competing, and I will maintain my own pace. 4. Characteristics of Special Course and First-Aid System 1) Since the event will be held on a specially laid-out course for the event, I understand that situations different from those arising from a standard sport-specific course could occur. 2) I understand that I may not receive immediate assistance in the event of an accident during the event, resulting in injury or illness. 5. Scope of Compensation for Injuries, Illnesses, and Fatal Accidents I understand that compensation for injuries, illnesses, or after-effects due to injury or illness, or death caused by the competition during the event will be within the scope of the insurance contracted by the Organizer, except in cases of gross negligence on the part of the Organizer. 6. Event Cancellation/Change, Theft/Loss/Damage of Competition Equipment, etc. 1) If the event is canceled or changed due to force majeure, such as natural disasters, weather conditions, incidents, accidents, and epidemics, I will not request a refund of the entry fee for participating in the event or any other expenses incurred from the Organizer. In addition, in the case of a postponement of the event, I will follow the rules to be provided separately. 2) I will not seek compensation from the Organizer for loss, theft, or damage to the competition equipment during the event, except in cases where the Organizer is grossly negligent. 7. Use of Publicity Rights Such as Portrait Rights for Publication I accept the use of my photographic image and personal information (name, age, place of origin, affiliation, competition history, self-introduction, etc.) for the purpose of event publication via media such as event-related publication materials, news coverage, and informational media. 8. Dispute Resolution 1) Protests, appeals, and complaints concerning the competitions of the event will be handled in accordance with the competition rules of the governing organization of the sport. 2) In the event of a legal dispute regarding the event, I agree that the Yokohama District Court shall be the exclusive court of first instance, and the governing law shall be Japanese law.



Confirmation(Caution)

<Cancellation Policy> In the event of cancellation for personal reasons or if the race is cancelled due to earthquake, windstorm, flood, incident, accident, epidemic, etc., the entry fee and entry fee will not be refunded in accordance with the agreement. Even for those who cancel, player-supplied items will be delivered by mail after the race. All declinations must be sent by e-mail. Please note that telephone calls will not be accepted. Entry rights cannot be transferred to a third party.

<About the race> The JTU competition rules and local rules apply. Please refer to the following URL for the JTU competition rules. http://www.jtu.or.jp/jtu/pdf/rulebook_20190123.pdf The judges and competition staff may have no choice but to stop the race for safety reasons. Wetsuits and road racers or triathlon-specific vehicles are required to compete. The use of race number belts is recommended. (Safety pins will not be distributed for race safety reasons.) However, once an athlete has been confirmed for the Age Group Para triathlon, he/she will not be able to transfer to the Elite Group Para triathlon. However, it is not possible to transfer participation in the Age Group Para triathlon to the Age Group Para triathlon after the Elite Group Para triathlon has been confirmed. Please refer to the following URL for details on Age Para Triathlon classifications (local rules). https://www.jtu.or.jp/news/2013/05/17/11303/ There are separate World Triathlon (TRI) and Japan Triathlon Union (JTU) entry criteria for entry into the Elite Para triathlon. *For details, please contact the JTU Secretariat (jtuoffice01@jtu.or.jp) after January 2025. This event is eligible for “Standard” and “Sprint” points in the 2025 JTU Triathlon Age Group National Championship Series.

<Handling of Personal Information> The organizer recognizes the importance of personal information, complies with the Act on the Protection of Personal Information and other related laws and regulations, and handles personal information in accordance with the organizer's personal information protection policy. The information will be used for the purpose of improving services to the participants of the event and for providing information on the event and preparing materials related to the event. In the event that the organizer receives a request for information from a government agency, etc., the organizer will, at its discretion, use the information for other purposes or provide it to a third party without the consent of the individual.

<Video and photographs taken during the event> The event staff and various members of the media will take photographs of the event. The footage and photographs taken may be used on websites, posters, promotional materials, and information media created by the organizer. They may also be published, broadcast, or distributed on websites, newspapers, magazines, and other media approved by the organizers. Please be aware of this beforehand.

<Transfer of eligibility> Substitute entries or transfers of rights at the event are not permitted (relay member changes are permitted). If such an action is found, the participant will be disqualified. In such cases, the organizers will not provide any compensation or refund. Both the transferee and the transferee will be reported to the Japan Triathlon Union (JTU), and the transferee may be disqualified from participating in other events as well.


Optional: Mt. Fuji & Hakone 1 Day Bus Tour from Yokohama On May 19th (Mon)

If the Fuji Subaru Line is closed, we will visit Oshino Hakkai Village, Arakura Sengen Shrine, or Fujisan World Heritage Center. Also, due to traffic conditions and timing, some of our stops may be skipped altogether. However, we will try to adhere to the scheduled itinerary as much as possible. As a general rule, we do not provide partial refunds in these cases. The Hakone Ropeway and the Hakone Pirate Ship on Lake Ashi may not operate due to various reasons. We may visit an alternative location (also to keep the schedule on days with heavy traffic) such as Lake Kawaguchi (cruise), Hakone Komagatake Ropeway, Lake Ashi Boat Cruise, Mt. Fuji Panoramic Ropeway, Hakone-en Aquarium, Hakone Checkpoint, Hakone Shrine, etc. Depending on weather conditions (such as high humidity, heavy rain, fog), Mt. Fuji may not be visible. Please note that no refunds will be given for weather-related complaints or changes to the tour schedule made by the tour guide or any of our staff. If the minimum number of participants (2) is not reached, the tour will not take place that day. In case of severe weather or traffic congestion and if the bus cannot pass through the road to Mt. Fuji 5th Station, the tour will visit Oshino Hakkai, Fujisan World Heritage Center, Lake Kawaguchi Oishi Park or Lake Yamanakako Hana no Miyako Park. Please note that an alternative route may be omitted depending on road conditions. If you miss the bullet train after getting off at Odawara Station, there will be no refund. Please board the next available train in the non-reserved compartment. If you plan to take the Bullet Train after the tour, please be sure to select the Bullet Train departing from Odawara Station. Children under the age of 5 may travel free of charge, but they do not receive a bus seat or lunch. If bus seat or lunch is required, please book under the children's fare. Lunch Option: If you choose the No Lunch option, lunch is not included. Please pack your own lunch. Allergies or Gluten Free: unfortunately we do not provide gluten free meals, but we can accommodate most of the allergy requests. Muslim meal: Please understand that we do offer a Muslim-friendly meal (a pork and alcohol free meal) but it's not halal certified.

Donation for SDGs WTCS Yokohama aims to be a “global environmentally friendly triathlon”. In order to achieve this goal, WTCS Yokohama is working to offset CO2 emissions by converting the CO2 emissions generated by the transportation of participants to and from the venue into monetary values and utilizing carbon offset credits.

At the same time, we contribute to the promotion of the SDGs by making donations to organizations that are working to promote the SDGs.
